Privacy Policy
This website is run by the Town of Cloud Lake. This page explains what the website collects, what the Town does with it, and how Florida’s public-records law applies to anything you send us.

Florida public-records notice
Under Florida law, e-mail addresses are public records. If you do not want your e-mail address released in response to a public records request, do not send electronic mail to this entity. Instead, contact this office by phone or in writing.
Most written communication to or from the Town about Town business is a public record under Chapter 119, Florida Statutes. That includes messages sent through this website’s contact form, along with the name, email address, and telephone number you give. Anyone may ask to see public records, and the Town must provide them unless a specific law makes them exempt or confidential.
Some people’s personal details are exempt by law, such as current and former law enforcement officers, judges, and firefighters (section 119.071(4)(d), Florida Statutes). If that applies to you, say so when you contact the Town Clerk.
What the website collects on its own
You can read every page and download every document on this website without telling us who you are.
- Server logs. Like any web server, the one that hosts this site records each request: your IP address, the date and time, the page or file requested, the page that linked you here, and your browser type. These logs are used to keep the site working and secure, and are kept for a limited time.
- Security checks. The site’s security software may record the IP address of requests that look like an attack, such as repeated failed logins.
- No tracking. The website does not use analytics services, advertising, social-media plug-ins, or tracking pixels. Its fonts and images are served from this website, so viewing a page does not send your information to any other company.
- No cookies for visitors. The website does not place cookies on your device when you read it, search it, or send a message. Cookies are used only when Town staff log in to update the site.
- One video, only if you play it. The History page offers a short video hosted on YouTube. Nothing is loaded from YouTube unless you press Play. The video then plays in YouTube’s privacy-enhanced mode, and YouTube’s own privacy policy applies to it.
What you send us
The contact form asks for your name, email address, telephone number (optional), and your message. When you send it:
- it is emailed to the Town Clerk, and a copy is stored on the website so a message is not lost if email fails;
- the Town uses it only to answer you and handle your request. If your question belongs to another government agency, the Town may pass it on to them;
- the Town does not sell it, rent it, or use it for marketing;
- to stop automated spam, the website keeps a coded form of your IP address for 15 minutes, which limits how many messages can be sent in a row. It is not stored with your message.
Please do not send sensitive information
Do not send a Social Security number, bank or card number, medical information, or passwords through the contact form or by email. This website never asks for them. If the Town ever needs information like this, the Town Clerk will tell you why and arrange a secure way to provide it.
Who can see it, and how long it is kept
Messages are read by the Town Clerk. The Town’s website support contractor can also reach them while maintaining the site, and the Town’s web host and email provider store them as part of running those services. Beyond that, access follows the public-records rules above.
The Town keeps records for the periods set by the State of Florida’s records retention schedules for local governments (General Records Schedule GS1-SL, under section 257.36, Florida Statutes). Copies may also exist in the Town Clerk’s email and in the website’s backups, which are stored in an account the Town controls.
Your choices
You can ask the Town Clerk for a copy of what the website holds about you, or ask for it to be corrected or deleted. The Town will do so where Florida law allows; a message that is a public record cannot be deleted before its retention period ends. If you would rather not use the form or email, you can call Town Hall or write to the Town instead.
Security
The website uses an encrypted connection (HTTPS), and only Town staff and the Town’s website support contractor can log in to it. The Town takes reasonable steps to protect what you send, but no website or email system is completely secure.
Links to other websites
This website links to other sites, such as Palm Beach County and State of Florida agencies. The Town does not control those sites, and their own privacy policies apply once you leave this one.
Changes to this policy
The Town may update this page. The date at the top shows when it last changed.
